Team travel question

The other problem is that less than 1/2 our schedule is firm, and the other half is on the fly. The qualifiers we had scheduled have all been taken off since we got our berth, so now we are scheduling based upon where everyone else is playing. For example, this weekend coming up we had two possible locations, but it didn't become obvious until this week which one of the two we would be playing. They are about 250 miles apart.
Just curious, who is "everyone else"?

IME, Coaches planned alternative events in advance with the understanding we'd do the qualifier if not qualified yet.

We stay with the team when it makes sense (most of the time). We played on a team last year where the teams did not stay together. It was a very good team but had zero chemistry. We almost never stay Friday night unless we have a real early game on Saturday. No team we ever played on has required us to stay at the same place. Our current team always stays together but I think it's more of a lack of anyone else wanting to look up hotels for reservations.

Our team has a hotel parent. They book the blocks and send out the info. They are free to use the block or find something else. The criteria is usually hot breakfast, pool, and $100/night or less. It seems like the blocks are made about 6 months in advance.
