In order to eliminate drama and the rest of the crap that comes with it, you tell them immediately after the last game is played in the last tournament.

So I now have some experience in this. We waited 48 hours after the conclusion of the last game. There was a little drama, as it is hard to see your kid not playing as much as you think she deserves. After 2 days, the emotions settle and give you a chance to analyze things more logically. I tried calling but after that failed (multiple attempts) I sent an email, thanking the coach for giving her an opportunity that other coaches probably wouldn't have offered, telling him we recognize that she is a better ball player because of his efforts, but also noting we see where she is on the depth chart (also included a sentence on how we respect his decision on PT even if we don't necessarily agree), and believe she has to play to get better. I concluded by telling him that next time we met, I hoped we could share the good memories we had playing on the team. To make a long story short, he called the next day, we had a great conversation, and left with no acrimony on either side. He offered to play her in a scrimmage this weekend to showcase her for a different coach, and we accepted. Really, things couldn't have ended any better for either side.
